▶Exhibitor Application Deadline

Tuesday, April 30, 2024

The application procedure (exhibition contract) will be considered complete upon receipt and confirmation of the application form by the organizer. If the number of booths is full before the above date, the application will be closed even before the deadline. Please check with the organizer regarding the reservation status of booths. If the booths are fully booked before the above date, exhibitors will be notified on a first-come, first-served basis as soon as the exhibitor cancellations are received.

Terms of exhibition

▶Joint Exhibitors

When two or more companies jointly apply to exhibit, one company must apply on behalf of the other and notify the organizer of the company name to be used for the joint exhibit at the time of application. The representative company shall be responsible for all procedures including the application. The representative exhibitor is the only contact point for communications from the secretariat and for sending various materials, visitor information, etc.
 

▶How to apply to exhibit

To apply to exhibit, please fill out the attached application form and send it to the exhibition secretariat by e-mail or fax.
 

▶Cancellation and Change of Contract

As a general rule, cancellations or amendments to the exhibition contract are not permitted. In case of cancellation, the organizer must be notified in writing, and only if the reason for cancellation is deemed to be due to force majeure, the organizer will accept the cancellation or change of the contract. In the event of cancellation, regardless of whether or not the exhibition fee has been paid, the exhibition contract will be deemed cancelled on the condition that the following cancellation fee based on the date of receipt of the notice of change/cancellation is paid to the organizer.

From May 1, 2024 to June 28, 2024 50% of the full amount of the Exhibition Fees
After June 29, 2024 100% of the full amount of the Exhibition Fees


 

▶Billing and Payment of Exhibit Fee

The exhibition fee will be invoiced in a lump sum after the application process is completed.
*Please transfer the fee in Japanese yen to the account of the designated financial institution indicated on the invoice within 60 days of the invoice issuance date.
*The exhibitor is responsible for bank transfer charges.
*We do not accept bills, checks, etc.
*Exhibitors will not be entitled to use a booth until the full payment of the exhibition fee is received.
 

▶Allocation of Booth

Booth locations will be determined by the organizer, taking into consideration the contents of the exhibit, the order of applications, the number and shape of booths, past results, and the scale of deliveries. The booth map will be announced at the "Exhibitor Briefing (online)" in July 2024. Advance information will not be available prior to the simultaneous opening of the exhibition.
 

▶Postponement or cancellation of the exhibition

If the organizer determines that it is difficult to hold the exhibition due to a natural disaster, man-made disaster, epidemic, or other calamity or force majeure, the organizer reserves the right to postpone or cancel the exhibition. If the exhibition is cancelled, the difference between the exhibition fee and the exhibition expenses will be refunded to the exhibitor after deducting reasonably calculated necessary expenses from the exhibition fee. If the organizer decides to postpone the exhibition, the exhibition fee shall be allocated to the postponed exhibition. If the exhibition is cancelled or postponed due to a force majeure, the organizer shall not be liable for any expenses or other damages incurred by the exhibitor.
 

▶Visa Acquisition

In the event that an overseas applicant needs to obtain a visa, the applicant shall be responsible for preparing and completing the necessary documents, including the Letter of Guarantee and Letter of Reason for Invitation. In principle, the organizer will not issue a Letter of Guarantee or Letter of Reason for Invitation in the form prescribed by the Ministry of Foreign Affairs of Japan to the applicant. The organizer will not be liable for any damage incurred by the Applicant due to the failure of the Embassy or Consulate of Japan to issue a visa, or the Applicant's inability to exhibit at the exhibition.
