Terms of exhibition

▶Joint Exhibitors

When two or more companies apply jointly, one company must act as the representative applicant. The representative company shall receive all communications from the organizer and handle all application-related procedures collectively. ※ All administrative communication, distribution of exhibitor passes, and delivery of visitor invitation materials will be handled only through the representative company.
 

▶How to apply

Please complete the required fields in the attached Exhibitor Application Form and submit it to the Secretariat via e-mail or fax.
 

▶Cancellation and Change of Contract

Cancellation or termination of the exhibition contract is not permitted in principle. If unavoidable circumstances arise and the organizer acknowledges the reason as unavoidable, changes or cancellations may be accepted. Regardless of whether booth fees have been paid, cancellation fees listed below will apply based on the date the organizer receives written notice of change or cancellation. The contract will be considered terminated once the organizer confirms receipt of the cancellation notice and applicable fees.

▶Invoicing and Payment

Booth fees will be invoiced in a single payment once the application procedure is complete. *Invoices will be issued within 60 days after the application is accepted. Please transfer payment in Japanese yen to the designated bank account. *Bank transfer fees must be borne by the exhibitor. *Personal checks or cash payments are not accepted. *Exhibitors will not be entitled to use their booth until full payment of booth fees has been confirmed.
 

▶Booth Allocation

Booth locations will be determined by the organizer based on exhibit content, application order, number of booths, booth configuration, company type, and the exhibitor’s move-in schedule. The booth layout will be announced at the Online Exhibitor Briefing scheduled for July 2026. Please note that specific booth requests cannot be accommodated.
 

▶Postponement or Cancellation of the Exhibition

If the organizer determines that the exhibition cannot be held due to natural disasters, accidents, epidemics, or other force majeure circumstances, the exhibition may be postponed or cancelled. If the exhibition is cancelled, the organizer will refund the booth fee after deducting expenses already incurred. If postponed, booth fees already paid will be applied to the rescheduled exhibition. In the event of cancellation due to force majeure, exhibitors shall not claim any compensation for damages or losses other than the refund described above.
 

▶Obtaining Visas

In the event that an overseas applicant needs to obtain a visa, the applicant shall be responsible for preparing and completing the necessary documents, including the Letter of Guarantee and Letter of Reason for Invitation. In principle, the organizer will not issue a Letter of Guarantee or Letter of Reason for Invitation in the form prescribed by the Ministry of Foreign Affairs of Japan to the applicant. The organizer will not be liable for any damage incurred by the Applicant due to the failure of the Embassy or Consulate of Japan to issue a visa, or the Applicant's inability to exhibit at the exhibition.
